
Terms and Conditions
Please read this prior to making any bookings

1. General & Environmental Policy
In accordance with Highland First Aid Ltd.’s Environmental Policy, all correspondence, including booking confirmations, joining instructions, and invoices, will be carried out electronically whenever possible.
2. Bookings and Payment

Open Courses (Public): Bookings must be paid in full at the time of booking via the Highland First Aid website. If payment by invoice is specifically agreed upon, payment must be received by the date stated on the invoice and, in all cases, before the course commences.

Closed Courses (Private Groups/Organisations): Invoices for closed courses must be paid by the due date stated on the invoice (normally within 30 days of the invoice date), unless otherwise agreed in writing.

Certification: Certificates remain the property of Highland First Aid Ltd until full payment has been received. We reserve the right to withhold certificates until the balance is settled.

Payment Terms — New Client Bookings

For clients with whom we do not have an established payment history, the following terms apply:

All bookings are provisional until full payment has been received. For courses starting more than 7 working days from the date of booking, your place will be held for 7 working days. If payment is not received within this period, the reservation will be released without further notice.

For courses starting within 7 working days of the booking date, payment must be received within 48 hours of the booking being made, or before the course start date — whichever is sooner.

Once an established payment history has been built up, standard invoicing terms may be discussed and agreed in advance.
3. Late Payment

Commercial Debt (B2B): For business-to-business transactions, Highland First Aid Ltd reserves the statutory right to claim interest and fixed-sum compensation for debt recovery costs under the Late Payment of Commercial Debts (Interest) Act 1998 (as amended).

Debt < £1,000: £40 fee

Debt £1,000 – £9,999: £70 fee

Debt £10,000+: £100 fee

Consumer Debt (B2C): For individuals booking privately, late payment may result in the cancellation of your place or the withholding of your certificate.
4. Cancellations and Postponements
4.1 If Highland First Aid Cancels
We reserve the right to cancel or postpone any course due to low numbers, instructor illness, or unforeseen circumstances. In such event, clients will be offered:

A full refund of fees paid (if the course has not yet started).

A proportionate refund (if the course has commenced but cannot be completed).

An alternative date to complete the training.
4.2 If the Client Cancels (Open or Closed Courses)
Cancellations must be made in writing. The following charges apply based on the notice given before the course start date:

21+ Business Days’ Notice: Full refund / No fee payable.

14 to 20 Business Days’ Notice: 25% of the course fee is payable.

7 to 13 Business Days’ Notice: 50% of the course fee is payable.
-
Less than 7 Business Days’ Notice: 100% of the course fee is payable.
Note: A "Business Day" is defined as Monday to Friday, 09:00 to 17:00, excluding Scottish Bank Holidays.
4.3 Postponement of Closed Courses
If an organisation requests to postpone a closed course to a later date:

A postponement fee of 25% of the original course fee plus any non-refundable travel or accommodation expenses incurred by us will be charged.

The rearranged course will be invoiced at the full rate.

Any further cancellation or postponement of a rearranged course will incur a mandatory 100% cancellation fee, regardless of the notice period.
4.4 Consumer "Cooling-Off" Period
In accordance with the Consumer Contracts Regulations, individual consumers booking online have the right to cancel within 14 days of booking for a full refund. However, if the course is scheduled to take place within those 14 days and you have requested to start the service, this right is waived once the service is fully performed.
5. Health, Fitness, and Accessibility
Highland First Aid Ltd is committed to the Equality Act 2010. First Aid training can be physically demanding (e.g., performing CPR on the floor).

Disclosure: Clients with mobility impairments, medical conditions, or disabilities that may affect their participation must disclose this at the time of booking.

Reasonable Adjustments: We will make every effort to provide reasonable adjustments to support learners. However, if a learner cannot meet the mandatory assessment criteria set by the awarding body (e.g., physical demonstration of CPR), a certificate of attendance may be issued instead of a full qualification.

Safety: We reserve the right to withdraw any person from an activity if their physical or medical condition seriously endangers the health and safety of themselves or others. In such cases, fees may not be refundable.
6. Insurance and Liability

Insurance: Highland First Aid Ltd is insured up to £6,000,000 for Malpractice, Professional Indemnity, Public Liability, and Products Liability (Underwritten by Zurich Insurance Plc).

Limited Liability: We accept no liability for loss or damage to personal belongings/baggage brought to a course.

Damages: Highland First Aid Ltd reserves the right to invoice the client for any damage caused to our equipment or property through a deliberate act, negligence, or recklessness.
7. Data Protection (GDPR)
Your personal data will be processed in accordance with the Data Protection Act 2018 and our Privacy Policy. Data is shared with awarding bodies only for the purposes of certification.
8. Governing Law
These Terms and Conditions are governed by the Laws of Scotland. Any disputes arising shall be subject to the exclusive jurisdiction of the Scottish Courts.
